By using the HuntBot.ai service, you confirm that you have read this Policy and agree to the terms governing the processing of your personal data.

2. What data is collected and processed

2.1. Account Holder Data (B2B Clients)

When you register for and use the service, the following information may be collected:

First and last name of the company representative
Corporate email address
Company Name
Phone number
Account Settings and Connected Integrations
Data on service usage (activity, statistics)

2.2. Data on End Users of Messaging Apps

The following can be processed through connected messaging apps:

A unique user ID in the respective messaging app
Name or username (if provided by the platform)
Message text
Date and Time of Messages
Attachments (photos, files, voice messages)
Technical Metadata for Interactions

2.3. Data via the chat widget on the website

The chat widget embedded on the client's website can be used to handle:

Text of messages entered by the user
Date and time of the inquiry
Session Technical Data (browser type, device type)
Information that the user voluntarily provides in the dialog (name, email, phone number, etc.)

2.4. Technical Specifications

The following can be collected automatically:

IP address (used exclusively for technical purposes; not stored in a profiled format)
Browser and Device Type
Pages and sections of the service that are visited
Time and Duration of Sessions
Technical logs of the service's operation

3. Legal Basis for Processing

The processing of personal data is carried out on the following legal grounds:

Performance of the Agreement — Processing of Account Data to Provide HuntBot.ai Services
User Consent — in cases where the end user voluntarily contacts us via a chat widget or messaging app
Legitimate interest — maintaining technical logs to ensure the security and stability of the service
Fulfillment of legal obligations—in cases provided for by Ukrainian law

4. Purpose of Processing Personal Data

Personal data is processed solely for the following purposes:

Provision of HuntBot.ai services in accordance with the selected pricing plan
Automating Responses in Messaging Apps and Chat Widgets
Technical Support for the Service
Providing technical support to customers
Analytics and Service Quality Improvement
Sending service notifications (updates, rate changes, maintenance)
Compliance with Legal Requirements

5. Analytics Tools and Cookies

The following analytics tools may be used on the website and within the HuntBot.ai service:

Google Analytics 4 (GA4) — for analyzing website traffic and user behavior. GA4 anonymizes IP addresses
Technical cookies — required for the service to function (authentication, session, settings)

6. The Use of Artificial Intelligence

To generate automated responses, messages may be forwarded to third-party AI providers:

OpenAI (U.S.)
Google Gemini API (U.S.)

The data is transferred solely for the purpose of processing a specific request. The company does not use the data to train its own models and does not share the data with AI providers for marketing purposes. The processing of messages using AI is automated. The company does not engage in automated decision-making that has legally significant consequences for end users.

7. International Data Transfer

Due to the involvement of AI providers located in the United States, personal data may be transferred outside of Ukraine and the European Union. Such transfers are carried out on the basis of Standard Contractual Clauses or other mechanisms that ensure an appropriate level of data protection. The service’s infrastructure is hosted on the Vercel platform. The hosting provider may process technical data in accordance with its own privacy policy.

8. Disclosure of Data to Third Parties

We do not sell personal data or use it for third-party marketing. Data may be transferred only:

AI providers (OpenAI, Google) — for processing messages
To the hosting provider (Vercel) — for the technical support of the service
To law enforcement agencies—solely on the basis of statutory requirements or a court order

9. Data Storage

Retention periods depend on the data type:

Customer account data — for the duration of the contract and for 3 years after its termination
Message history — for the duration of the account's activity
Data is retained for up to 30 days after an account is deleted or an integration is disabled, after which it is automatically deleted
Technical logs — up to 90 days
Financial and accounting documents — in accordance with the requirements of Ukrainian tax law

10. Deleting Your Account and Data

10.1. Self-removal in the app

A customer can completely delete their account at any time directly in the HuntBot.ai settings. After confirming the deletion:

The user profile is completely deleted from the system
All message history and integration settings will be deleted
All associated account data will be deleted
This process is irreversible—data cannot be recovered once confirmed

The user receives a deletion confirmation at the email address associated with their account.

10.2. Deletion Upon Request

Requests to delete data can be sent to [email protected]. Requests are processed within 30 calendar days. Once the request is fulfilled, the user will receive confirmation.

10.3. Data Not Subject to Immediate Deletion

Certain categories of data may be retained after a deletion request in cases provided for by law:

Financial and accounting records — in accordance with the requirements of tax law
Information required to resolve pending disputes or legal proceedings
De-identified aggregated statistical data that do not allow for the identification of an individual

11. User Rights

In accordance with the GDPR and the Law of Ukraine «On the Protection of Personal Data,» every user has the right to:

Right of access — to obtain information about what data is being processed and on what grounds
Right to rectification — to request the correction of inaccurate or outdated data

The company reserves the right to update this Policy. Customers will be notified of material changes via email at least 14 calendar days before such changes take effect. The current version is always available on the service’s website. Continued use of HuntBot.ai after the changes take effect constitutes acceptance of the updated Policy.
