By using the HuntBot.ai service, you confirm that you have read this Policy and agree to the terms of processing your personal data.

2. What data is collected and processed

2.1. Account holder data (B2B clients)

When registering and using the service, it may be collected:

Name and surname of the company representative
Corporate email address
Company name
Phone number
Setting up your account and connected integrations
Data on the use of the service (activity, statistics)

2.2. Data of end users of messengers

They can be processed via connected messengers:

Unique user ID in the respective messenger
Name or nickname (if provided by the platform)
Text of messages
Date and time of notifications
Attachments (photos, files, voice messages)
Technical interaction metadata

2.3. Data through the chat widget on the website

They can be processed through a chat widget embedded on the client's website:

Text of messages entered by the user
Date and time of application
Technical session data (browser type, device)
Data that the user voluntarily provides in the dialog (name, email, phone number, etc.)

2.4. Technical data

They can be collected automatically:

IP address (for technical purposes only, not stored in a profiled form)
Browser and device type
Pages and sections of the service that are visited
Time and duration of sessions
Technical logs of the service

3. Legal basis for processing

Personal data is processed on the following legal grounds:

Performance of the contract - processing of account data to provide the services of the HuntBot.ai service
User consent - in cases where the end user voluntarily contacts through a chat widget or messenger
Legitimate interest - maintaining technical logs to ensure the security and stability of the service
Fulfillment of legal obligations - in cases stipulated by the legislation of Ukraine

4. Purpose of personal data processing

Personal data is processed solely for the purpose:

Provision of HuntBot.ai services in accordance with the selected tariff plan
Automate responses in messengers and chat widgets
Technical support of the service
Providing technical support to customers
Analytics and service quality improvement
Sending service notifications (updates, tariff changes, maintenance)
Compliance with legal requirements

5. Analytical tools and cookies

The website and the HuntBot.ai service may use analytical tools:

Google Analytics 4 (GA4) - to analyze traffic and user behavior. GA4 uses IP address anonymization
Technical cookies - necessary for the operation of the service (authentication, session, settings)
Analytical cookies - to understand how users interact with the service

The user can manage cookie settings through the browser. Disabling technical cookies may affect the functionality of the service.

6. Use of artificial intelligence

Messages can be transferred to third-party AI providers to generate automatic responses:

OpenAI (USA)
Google Gemini API (USA)

The transfer is made solely for the purpose of processing a specific request. The company does not use data to train its own models and does not transfer data to AI providers for marketing purposes. AI message processing is automated. The Company does not make automated decisions with legally significant consequences for end users.

7. International data transfer

In connection with the engagement of AI providers located in the United States, personal data may be transferred outside Ukraine and the European Union. Such transfers are made on the basis of Standard Contractual Clauses or other mechanisms that ensure an appropriate level of data protection. The service infrastructure is hosted on the Vercel platform. The hosting provider may process technical data in accordance with its own privacy policy.

8. Transfer of data to third parties

We do not sell personal data or use it for third-party marketing. The data may be transferred exclusively:

AI providers (OpenAI, Google) - for message processing
Hosting provider (Vercel) - for technical support of the service
To law enforcement agencies - only on the basis of legal requirements or a court decision

9. Data storage

Retention periods depend on the type of data:

Customer account data - during the term of the agreement and 3 years after its termination
Message history - during the period of account activity
Data after deleting an account or disabling integration - no more than 30 days, after which it is automatically deleted
Technical logs - up to 90 days
Financial and accounting documents - in accordance with the requirements of the tax legislation of Ukraine

10. Delete your account and data

10.1. Self-delete in the application

The client can completely delete his account at any time directly in the HuntBot.ai settings. After confirming the deletion:

The user profile is completely erased from the system
All message history and integration settings are deleted
All related account data is deleted
The process is irreversible - data recovery after confirmation is impossible

The user receives a confirmation of deletion to the account email address.

10.2. Deletion on request

A request for data deletion can be sent to [email protected]. The request is processed within 30 calendar days. Once completed, the user receives a confirmation.

10.3. Data not subject to immediate deletion

Certain categories of data may be retained after a request for deletion in cases provided for by law:

Financial and accounting records - in accordance with the requirements of tax legislation
Data required to resolve active disputes or legal proceedings
Anonymized aggregated statistical data that does not allow for personal identification

11. User rights

In accordance with the GDPR and the Law of Ukraine «On Personal Data Protection», every user has the right to:

The right to access - to receive information about what data is processed and on what grounds
Right to rectification - to request correction of inaccurate or outdated data
The right to erasure - to request the complete deletion of your personal data
The right to restrict processing - to restrict the processing of data in cases specified by law
The right to data portability - to receive your data in a structured, machine-readable format
Right to object - to object to data processing on the basis of legitimate interest
The right to withdraw consent - at any time, without affecting the lawfulness of the previous processing

12. Protection of personal data

The Company takes organizational and technical measures to protect data from unauthorized access, loss or disclosure:

Regular monitoring of infrastructure security

13. Children and minors

The HuntBot.ai service is intended exclusively for use by businesses (B2B) and individuals over the age of 18. We do not knowingly collect personal data from anyone under the age of 18. If you become aware of the provision of such data, please notify us at [email protected].

14. Changes to the Privacy Policy

The Company reserves the right to update this Policy. Clients are notified of significant changes by e-mail at least 14 calendar days before they come into force. The current version is always available on the service's website. Continued use of HuntBot.ai after the changes come into effect means acceptance of the updated Policy.
